Digital shipping platforms have made it easier to find vessels, monitor ports, and obtain market information. However, access to more data does not automatically reduce the risks associated with a bulk cargo shipment. The value lies in knowing which information to examine, how to compare different sources, and when to question what appears on the screen.
Before an exporter, importer or commodity trader commits cargo to a vessel, several digital checks can identify potential technical, operational and commercial problems. These checks do not replace professional judgment, direct communication with the parties or careful review of the charter party. They provide an essential first layer of verification and help charterers ask the right questions before making an expensive commitment.
The following seven checks should form part of the planning process for any dry bulk shipment.
1. Verify the vessel’s identity and technical particulars
The first check is confirming exactly which vessel is being proposed.
A vessel’s name alone is not sufficient because names can change, and similarly named ships may operate in the same market. The IMO number is the most reliable permanent identifier and should be used when checking vessel databases, class records and trading history.
The main technical particulars should then be compared across available sources. These normally include:
- Deadweight and summer draft
- Year and place of construction
- Flag and classification society
- Length overall and beam
- Number and dimensions of cargo holds and hatches
- Grain and bale capacity
- Gear configuration and crane capacity
- Grab availability
- Tank top strength
- Previous names and ownership history
Differences between databases do not necessarily indicate a serious problem. Some platforms may contain outdated information, while others may display simplified vessel descriptions. Nevertheless, any material discrepancy should be clarified before the vessel is accepted.
For example, a small difference in stated deadweight may not affect the voyage. An incorrect hatch dimension, crane capacity, or grain capacity can be commercially significant. It may determine whether the nominated vessel can load the planned quantity, whether shore equipment will be required or whether the cargo can be handled at the intended terminal.
The vessel description provided by the owner should remain the primary contractual document, but digital sources offer a useful independent comparison. If the information does not match, the issue should be resolved before fixing rather than after the vessel has arrived.
2. Review the vessel’s current position and recent movements
Automatic Identification System data allows charterers to see a vessel’s reported position, speed, destination and recent port calls. This information can help determine whether the proposed vessel is realistically positioned to meet the expected laycan.
A vessel described as “open Mediterranean” may still be completing a voyage in the Black Sea, waiting at an anchorage or proceeding to another port before becoming available. Its estimated date of arrival may depend on weather, congestion, bunkering, canal transit or the completion of current cargo operations.
The digital check should therefore look beyond the vessel’s latest position. Review its route over several days and consider:
- Whether the vessel is sailing or waiting
- Its actual speed compared with its normal operating speed
- The declared destination
- Recent changes to the destination field
- Time spent at the previous port
- Possible intermediate calls
- Distance to the proposed loading port
- Congestion along the expected route
AIS information has limitations. Signals can be delayed, incomplete or entered incorrectly by the crew. A declared destination may be abbreviated or may not have been updated. Some areas also have limited coverage.
For this reason, AIS data should be treated as an indicator rather than conclusive evidence. It is particularly useful for identifying questions that require direct confirmation from the owner or broker. If the vessel’s visible movements do not support the proposed arrival date, the charterer should request a detailed itinerary and basis for the estimated time of arrival.
3. Examine the vessel’s recent cargo and port history
A ship’s recent trading pattern can reveal whether it is operationally suited to the intended voyage.
Past port calls may indicate the type of cargoes carried, the regions in which the vessel regularly trades and whether it has experience at the proposed loading or discharge ports. This can be important when the shipment involves cargo contamination risks, strict terminal procedures or unusual local restrictions.
If a vessel has recently carried coal and is now being considered for grain, fertiliser or another contamination-sensitive commodity, hold-cleaning requirements should be examined carefully. Digital records will not show whether the holds have been cleaned to the required standard, but they can alert the charterer to the need for additional inspections, cleaning clauses and documentary evidence.
The same principle applies to port experience. A vessel that has called at a port before may already be familiar with its approach, anchorage arrangements, terminal requirements and documentation. However, a previous call does not guarantee suitability for the present cargo.
Recent history can also expose unusual waiting periods, repeated diversions or long gaps between port calls. These do not automatically disqualify a vessel, but they may justify further inquiries regarding repairs, detention, congestion, or employment.
The purpose is not to make assumptions based on incomplete digital records. It is to identify operational questions early enough for them to be answered before nomination.
4. Check loading and discharge port restrictions
A technically suitable vessel may still be unsuitable for a particular port.
Port information is increasingly available through terminal websites, electronic port guides, agent circulars, hydrographic resources and vessel-tracking platforms. Before fixing, the charterer should compare the vessel’s particulars with the restrictions at both ends of the voyage.
Important checks include:
- Maximum permissible draft
- Length and beam restrictions
- Air-draft limitations
- Tidal windows
- Water density
- Berth configuration
- Hatch accessibility
- Shore-crane outreach
- Availability of grabs or other equipment
- Daylight-only navigation requirements
- Tug and pilotage rules
- Seasonal weather limitations
Draft deserves particular attention. The vessel’s maximum summer draft does not mean that it can arrive at every port on that draft. Channel depth, under-keel-clearance requirements, water density and tidal conditions may reduce the permissible sailing or arrival draft.
The charterer should also verify whether the berth can accommodate the vessel’s dimensions and cargo-handling arrangement. A geared vessel may appear ideal, but its cranes may not provide adequate outreach at the intended berth. Conversely, an ungeared vessel may be acceptable only if reliable shore equipment is available.
Online information can become outdated after dredging, silting, infrastructure work or regulatory changes. The final position should therefore be confirmed with local agents or the terminal. Digital checks provide the starting point, while local confirmation converts general information into voyage-specific guidance.
5. Assess weather, seasonal and navigational risks
Weather affects more than the vessel’s time at sea. It can influence port access, cargo condition, loading productivity, and the reliability of the entire schedule.
Digital forecasting tools can provide useful information on wind, waves, precipitation, visibility and expected route conditions. Historical weather data can also help identify seasonal risks, including monsoons, tropical storms, river-level changes, freezing conditions and periods of heavy swell.
For moisture-sensitive cargoes, the probability of rain at the loading or discharge port may be particularly important. Even when the charter party contains clear weather-working provisions, repeated interruptions can lead to delay and disagreement over laytime.
Weather-routing information can also help test whether an owner’s proposed passage time is realistic. A calculation based only on distance and service speed may overlook seasonal headwinds, adverse currents, or forecast heavy weather.
The objective is not to predict the voyage with complete accuracy. That is impossible. Instead, the charterer should understand which assumptions are vulnerable and ensure that the commercial schedule contains a reasonable margin.
This is especially important when the shipment forms part of a wider sale contract. A delay at sea or at the loading port may affect documentary deadlines, delivery periods, production schedules and the buyer’s obligations. Weather risk should therefore be considered before the voyage terms are finalised, not only after the vessel is fixed.
6. Investigate sanctions, compliance and ownership risks
A vessel can be technically suitable and well positioned but still create serious compliance problems.
Before entering into a fixture, the vessel, registered owner, beneficial owner, commercial operator and other relevant parties should be screened against applicable sanctions and compliance databases. The vessel’s flag, class, protection and indemnity arrangements and ownership history may also require examination.
Changes in vessel name, flag, ownership or management are not automatically suspicious. They are common in international shipping. A series of recent changes, unclear corporate relationships or inconsistent records may nevertheless justify enhanced due diligence.
The charterer should also consider the vessel’s recent trading areas and counterparties. Calls at sanctioned or high-risk locations may require further clarification, even when the voyage itself is lawful.
Digital screening is only part of the process. Free databases may not contain complete or current information, while commercial compliance platforms may use different risk criteria. A “no match” result should not be treated as an absolute guarantee.
Where the cargo, route, financing arrangements or parties create elevated exposure, professional legal or compliance advice may be necessary. The cost of proper verification is small compared with the consequences of a blocked payment, rejected document, detained vessel or interrupted voyage.
7. Compare the digital picture with the commercial offer
The final check is to compare all the information collected with the freight offer itself.
A low rate may reflect an efficient vessel in a favourable position. It may also reflect a vessel with schedule uncertainty, restricted cargo capacity, unsuitable equipment, or a trading pattern that creates additional risk.
The commercial evaluation should therefore consider more than the headline freight rate. Potential additional costs may include:
- Reduced cargo intake
- Extra port or agency expenses
- Shore-crane or grab hire
- Hold cleaning
- Additional surveys
- Longer passage time
- Bunkering deviations
- Congestion exposure
- Demurrage risk
- Cargo-handling limitations
This is where an experienced broker adds value. Effective dry bulk cargo chartering requires the technical, operational, and commercial information to be considered as one connected picture.
A vessel offering the lowest freight rate is not necessarily the vessel that will produce the lowest total transport cost. If it loads less cargo, arrives outside the required window or requires expensive shore equipment, the apparent saving can disappear quickly.
The digital review should therefore end with a simple question: does the available evidence support every important assumption behind the offer?
If the answer is unclear, the unresolved points should be listed and addressed before the vessel is fixed.
Digital information supports decisions but does not make them
Digital tools have significantly improved visibility in shipping. Charterers can now examine vessel movements, technical data, port conditions, weather and compliance risks in a fraction of the time previously required.
However, the shipping market remains dependent on information provided by multiple parties, and not every source is complete, current or accurate. Data must be interpreted in the context of the particular vessel, cargo, port and contract.
The strongest approach combines digital verification with direct communication, local knowledge, documentary checks and experienced commercial judgment. Each check should lead either to confirmation or to a clear question for the owner, broker, agent or terminal.
Carrying out these seven checks before committing cargo cannot eliminate every risk. It can, however, prevent many avoidable mistakes and help the charterer enter negotiations with a much clearer understanding of the proposed voyage.
